How Rasonyx handles website enquiries and business information.

1. Who is responsible for your information

Rasonyx is the controller of personal information submitted through this website. Rasonyx is based in Naas, County Kildare, Ireland. Privacy enquiries may be sent to sales@rasonyx.com.

2. Information we collect

Depending on how you use the website, Rasonyx may collect:

• Your name, company, professional role, business email address, telephone number, country and delivery location.
• Product interests, selected catalogue items, project requirements, quantities, required dates, standards and documentation requests.
• Information contained in drawings, photographs, bills of quantities, datasheets, CAD files and other enquiry attachments or secure file links.
• Catalogue requests, enquiry references, communication history, quotations, order and delivery records.
• Optional marketing preferences and the date and source of a consent or withdrawal.
• Basic technical and security information such as IP address, browser information, referring page, campaign parameters and submission timestamps where available.

Please avoid including personal information that is not necessary for the enquiry. Do not submit passwords, payment-card details, special-category personal data or confidential third-party information unless it is genuinely required and you are authorised to provide it.

3. Why we use the information

Rasonyx uses personal information to:

• Provide catalogue access and respond to product, sourcing and quotation requests.
• Assess technical and commercial requirements, request clarification and communicate about an enquiry.
• Identify and contact prospective manufacturers, distributors, logistics providers or suppliers where this is necessary to evaluate or fulfil a requirement.
• Prepare quotations, manage orders, deliveries, documentation, warranty matters and customer support.
• Maintain commercial, accounting, quality, traceability, security and legal records.
• Prevent spam, fraud, malicious uploads and misuse of the website.
• Measure the source and effectiveness of enquiries and improve the website and operating process.
• Send optional product or capability updates where you have consented or another lawful basis permits the communication.

4. Legal bases

Depending on the circumstances, processing may be necessary to take steps at your request before entering into a contract, to perform a contract, to comply with legal obligations, or for Rasonyx's legitimate interests in responding to business enquiries, operating securely, maintaining records and developing its business. Marketing based on consent is optional and can be withdrawn at any time without affecting an enquiry or order.

5. RFQ files and supplier sharing

Technical information may need to be shared with selected prospective manufacturers, distributors, testing providers, logistics providers or other suppliers so that they can assess availability, manufacture, compliance, documentation, cost or delivery. Rasonyx will share only information reasonably necessary for that purpose. Customers should clearly identify any information requiring special confidentiality treatment before submission.

Direct website attachments are transmitted with the RFQ email. Larger files may be supplied through a secure third-party link chosen by the customer. The customer is responsible for configuring link access appropriately and removing access when it is no longer required.

6. Service providers and international transfers

Rasonyx may use service providers for website hosting, email, file storage, IT support, analytics configured in a privacy-conscious manner, accounting and business operations. Current website enquiries may be processed using Vercel website infrastructure and Hostinger email services. Some providers or prospective suppliers may process information outside Ireland or the European Economic Area. Where required, Rasonyx will use an appropriate transfer mechanism and proportionate safeguards.

7. Retention

Rasonyx keeps information only for as long as reasonably required for the relevant purpose. As an operating guideline:

• Unsuccessful or inactive enquiries may normally be retained for up to 24 months after the last meaningful contact, unless a longer period is necessary for a dispute, quality, technical or legal reason.
• Customer, quotation, order, accounting, quality and traceability records may normally be retained for up to seven years after the relevant transaction or relationship, or longer where a legal, contractual, warranty, safety or standards requirement applies.
• Marketing records are retained while the permission or other lawful basis remains valid. A minimal suppression record may be retained after an opt-out so that the request continues to be honoured.
• Security logs and failed-submission records are retained for a shorter period proportionate to security and abuse-prevention needs.

8. Security

Rasonyx uses proportionate technical and organisational measures intended to protect information, including encrypted website connections, access controls, email authentication, input validation, restricted form types and operational review. No internet or email transmission can be guaranteed completely secure. For particularly sensitive or commercially confidential files, contact Rasonyx before submission to agree an appropriate transfer method.

9. Marketing communications

The optional marketing checkbox is separate from the information needed to answer an enquiry. You can withdraw a marketing consent or object to direct marketing at any time by emailing sales@rasonyx.com. Rasonyx will retain enough information to record and respect the opt-out.

10. Local storage and cookies

The website may use browser local storage to keep products that you add to the RFQ basket. This is used to provide the quotation-basket function and does not by itself create an advertising profile. The current website is not intended to use advertising cookies. If non-essential analytics, advertising or similar tracking is introduced, this notice and the website's consent controls should be updated before that technology is activated.

11. Your data-protection rights

Subject to applicable law, you may ask for access to your personal information, correction, deletion, restriction, portability, or object to particular processing. You may also withdraw consent where processing relies on consent. Rasonyx may need to confirm your identity and may retain information where continued retention is required or permitted by law.

12. Complaints

Please contact Rasonyx first so the issue can be reviewed. You may also complain to the Irish Data Protection Commission through dataprotection.ie, or to another competent supervisory authority where applicable.

13. Changes to this notice

Rasonyx may update this notice when its website, service providers or business processes change. The latest version will be published on this page with an updated date.
